FY19 Annual Grant Advisory Panel Dates

Now that Annual Grant deadlines have passed, we begin the process of reviewing applications to ensure that they meet all of the requirements. The applications will then be reviewed by volunteer panelists or adjudicators in preparation for the Advisory Panel meetings (see schedule below).

Annual grant applicants, with the exception of Individual Artists Fellowship applicants, will be notified of the date of their Advisory Panel meeting and given an approximate time that their application will be reviewed. This information will be sent to the contact listed on your application by the staff member it has been assigned to. It is strongly encouraged, but not mandatory, for a representative of the organization to be present at the time of review.

For your convenience, you may call into the Advisory Panel meeting instead of attending in person. If you choose the dial-in option, you may dial in on the appropriate day, approximately ten minutes prior to the start time listed for your application review. The number is 888-778-2006. Review times listed on panel schedules are approximations. Every effort will be made to stay on schedule, however, unforeseen circumstances may occur. In the event of a schedule change on the day of the meeting, we will make every effort to contact those applicants who have indicated their intention to dial-into the meeting.

Panelists and adjudicators are asked to assign ratings for each evaluation criteria. They may discuss the strengths and weaknesses of the application and give constructive comments. Applicants may not make a presentation or pass out new or additional information but are allowed to respond if asked a question.

Apart from running the panel meeting and keeping the discussions consistent with review criteria, Commission staff members do not take an active role in the review process and do not score applications. Funding recommendations are based on the final ratings and rankings of all applications and available funds.

Individual Artist Fellowship application packets are sent to out-of-state adjudicators. Packets include copies of all applications, work samples and information on scoring. Commission staff will provide an orientation session for adjudicators to answer any questions about the process and funding policies. Adjudicators will return results to the Commission by a specified date with their recommendations and comments. All fellowship recommendations are presented to Commission board members for final approval.

Award letters will be emailed to all applicants in June 2018.
