We’re Hiring! TN Arts Seeks Administrative Services Assistant
The Tennessee Arts Commission seeks a full-time Administrative Services Assistant 3. Under the supervision of the of Associate Director of Operations, this position cultivates the arts for the benefit of all Tennesseans and their communities. Specifically, the position is responsible for supporting state grants management transactions for Tennessee Arts Commission grants, including supplier set-up, performance and financial reports and requests for payment. Responsibilities
- Serves as lead staff for supplier set-up, including work with program directors to gather W-9s or school memos and manage registration and change requests for vendor profiles. This involves liaison between the agency, the Department of Finance & Administration Supplier Maintenance and multiple nonprofit and public grantee agencies. This is a significant function for the TN Arts Commission as it manages approximately 1000 grants annually.
- Supports pre-audit review and approval of grant requests for payment and final evaluations through the Tennessee Arts Commission’s online grant system to assure that grantees are fulfilling their obligations and that payments are compliant with state policy
- Manage process for collection and follow-up of annual financial reports from grantees to assure state compliance with federal audit requirements, specifically the Audit Purposes (IAP) and End of Fiscal Year (EOFY) forms.
- Supports the preparation of reports to state agencies and non-state funders, including generation of data, review and analysis of information.
- Provides technical assistance to organizations, artists and communities related to areas of responsibility
- Participates in agency administrative team meetings and other related duties as assigned
- Acts creatively as part of the Arts Commission team to support agency-wide events and activities
Skills and Knowledge Required
- Bachelor’s Degree and three years full-time professional staff administrative and/or analytic experience OR one-year additional graduate coursework in arts administration, public administration, business administration or other acceptable field
- Grants management, accounts payable, nonprofit administration and/or budget experience desired
- Strong critical thinking, judgment and customer service skills
- Ability to work independently; manage complexity, multiple priorities and collaborative initiatives; and carry projects through to successful completion
- Strong oral and written communication skills
- Highly organized and detail oriented
- Licensed to operate a motor vehicle and available for travel
- Knowledge and ability to utilize office equipment and computer software including Microsoft Office

Salary based on experience. Salary $4057-$6,099/month. Works in non-smoking state office in downtown Nashville, but currently offers Alternative Work Solutions (work from home 3 days a week and in downtown office 2 days a week and as requested) Some travel will be required
