Grant Closeout is Fast Approaching

From Hal Partlow, Associate Director of Operations –

If your FY23 Tennessee Arts Commission grant(s) is not yet closed, you should be working on that now! Has your project concluded? If so, please do not wait until June 15 to submit your forms – sooner is better! To close out, please submit the final evaluation and the request for funds form.

For a tutorial about closing your grant, including tips and hints and what to avoid, see the Grants Closeout 101 Webinar from April 2023.

To find the reports needed to close your grant, log into the online grants system and look in the left-hand menu under GRANTS MANAGEMENT for Reports Due and/or Changes Requested. Fill in the forms and don’t forget to attach the following to the final evaluation: an Itemized List of Expenditures, TN Arts Commission credit, and, if required, Specialty License Plate information. Be sure to click “Submit” at the bottom right when you are ready.

The single most important piece of information you need for grant closeout is the Itemized List of Expenditures showing allowable expenses to be reimbursed and match. This is uploaded as part of the final evaluation. Align your expenditures with your approved grant contract budget or contact your program officer to request a contract line-item budget change if needed.

Click here for detailed directions. Scroll down to the “Select your grant to manage” links in the blue box.

Don’t get frustrated — call or email with questions Sarah Griffin at 615-532-4091. You may also reach out to your program officer or Hal Partlow.

Thanks for your work and your help to close out FY23 on time!
